INTRODUCTION TO MS EXCEL — Creating an Excel file.


Microsoft Excel or MS Excel for short, is a spreadsheet application that is a part of the Microsoft office suite of applications created by Microsoft Corporation. Excel is developed for Windows, Mac, Android and iPhone operating system (OS). Excel is believed to be the industry standard in spreadsheet application operations like crunching numbers, data visualization, pivot tables and macros using the Visual Basic (VB) programming language.


Excel makes it easy to crunch numbers ranging from simple tasks to complex data analyses analysis and application development. Excel helps to streamline data entry with AutoFill, data visualization using charts and graphs, both custom made or recommended based on your data or easily spots trends and patterns with data bars, color coding and icons.

Excel stores data in a combination of “columns and rows” style which make up a single cell that contains a given value. The columns are labeled in alphabetical letters A to XFD running left to right on the top while the rows are identified by numbers on the left running in ascending sequence from 1 to 1048576.


Creating and opening up a new Excel file is pretty straight forward and for a great user experience (UX), Microsoft provides numerous step-by-step methods of creating a new file as demonstrated below.


The first and easiest way of creating a new excel file is by moving to a desired location where you would want to store your file. This can either be on the desktop or in a given folder and right-click on a free space which gives you a dropdown list of options to follow as shown below.

Action: Right-click -> Chose New -> Microsoft Excel Worksheet.

Using Keyboard Combinations (Shortcuts)

You can also create a new Excel file or a workbook by using a keyboard combination of keys.

Action:Win + R” -> Enter or click OK -> Chose Blank Workbook.

Another way to open and create a new Excel file is through the “Start menu”. You can access the Start menu by either “left click” on the “Start button” from the left-lower side of your window screen or by pressing once the “Win logo key” on your keyboard.

Alternatively, “Excel” can be accessed by either “left click” on the “Start button” from the left-lower side of your window screen or pressing once the “Windows Key” on your keyboard to trigger the search area. In the search text box, type the word Excel and choose the Excel app.

And that’s all it takes to create an excel spreadsheet file that can be read written by both Microsoft Excel and other spreadsheet applications.
